Introducing Linked Docs - the new branch 💪

TL;DR We are renaming Branches to Linked Docs. Linked docs work just like branches for comparing, merging, and managing your revisions but are also discoverable as standalone files.

Today our customers use version control in Almanac to collaborate with more transparency, organization, and structure than any other platform on the market.

  • You can suggest changes to docs to which you only have read or comment access
  • You can work privately on a new version without everyone seeing your work in progress
  • You can manage revisions on documents that end up diverging from the original

We strive to give your documents as much power as git does with code. To further align with this vision, we're excited to roll out expanded capabilities for connected documents over the next few weeks.

Introducing 🔗 Linked Docs: an enhanced way to create related documents that can be seamlessly compared and merged later.

Unlike branches, Linked Docs are individual, separate files that function as normal documents. You can store them in any folder when you create them and share them separately. All existing branches will be converted to Linked Docs and show up in the same folder as the original doc.

With linked documents, you can still easily compare and merge them in one-click. Linked Docs are perfect for projects with big rounds revisions, like contracts, press releases, or technical specs, where you compare and combine many versions into a clean "vFinal."

When you copy a doc, you have the option to create a Linked Doc or an Unlinked doc, where the doc's previous history will be wiped so you can start from scratch.

Soon, we'll introduce the ability to create layers of in-line tracked changes for quick revisions and suggestions within the same doc. Watch this space for more. 🎵

Reach flow fast

When inspiration strikes, we want it to be as easy as possible to put pen to paper. This is why we introduced alamanac.io/write, a one-stop URL to put you directly into a new document whenever you need to get started writing quickly. Quick notes, meeting minutes, dream journal, anything you need to write is just a URL away!

Automatic upgrade of legacy Almanac docs coming soon

Starting May 25, all legacy Almanac documents will be automatically upgraded to the latest and greatest Almanac editor.

The new editor brings new features galore: custom fonts and sizes, color boxes and gradients to make your text pop, and embedded views for tools like Airtable, Loom, and Canva.

These changes will only impact documents created before January 27th, 2022 that have not yet been manually upgraded. Note that your document version history will be reset with the upgrade. There is no action you need to take; the upgrade will be automatically applied.

Improvements and fixes

  • We simplified the command line! The command options are now contextualized to where you're working within Almanac. Navigating pages, adding a comment, inserting a title, and more are all just a Command+K away. Stay tuned for even more command line improvements coming soon 👀
  • You can now add code blocks, images, embeds, lists, and toggle blocks within table cells.
  • We improved email notifications for your comments and tasks.
  • The right-click menu in tables is working better than ever.
  • Content styling is now reflected across inbox previews, document comparisons, snippets, and more.

Drag n Drop Tasks

Your to-do list doesn't let up, and we're here to help you cruise through it. We're continuing to ship improvements to our new Tasks page and you can now drag and drop tasks within your list. You can also add custom sections to further organize your list into categories. Lists upon lists!

Workspace Doc Styles

Make your workspace your own with customized document styles. We finished upgrading this workspace setting so it works with all docs using our new editor. Whether you're looking to apply your brand's style guidelines or simply update all headers to your favorite font and color - the power is yours! Purple Helvetica, anyone? No judgement.

If you're a workspace admin, you'll find this option in your workspace settings under the Document Styles tab. Here can set the default styling for normal text, titles, and headers for all docs in your workspace. The customizable properties include: font, size, style, weight, text decoration, color, background color, alignment, line height, padding, case.

Improvements & Fixes

  • Find a relevant resources and templates for your team by browsing our freshly updated categories on Almanac Core, including remote work and much more.
  • All the handbook menu options are available in the right click menu and on the hover menu.
  • Snippets now preview in-doc on hover before insertion.
  • Toggle blocks and tables work in snippets.
  • You can delete part of a table without trouble now.

Workspace Properties

Properties provide transparency and context on your docs, and you now have a place to manage workspace-wide properties in your Account Settings. In addition to the Almanac defaults, you can get as creative as you like making your own default properties for your workspace.

  • Default properties are always added to all docs in your workspace. Examples: Teams or departments, roles, last opened date, reviewer or approver
  • Optional properties are available to add to any doc in the workspace. Examples: Projects, features, nicknames or codenames, company themes

Workspace properties are available for everyone, but only admins can create, update, or delete them. As an example, you could create a default "Team" property that would be included on all docs, and make an optional "Nickname" property for folks to use if they choose. Get to Inbox Zero

Your Almanac Inbox got a batch of updates to help you speed through notifications and tackle your action items.

  • See what items need your attention at a glance with updated inbox activity icons
  • Use keyboard shortcuts to quickly navigate through your notifications
  • Get notified about new tasks, and when tasks are completed or deleted
  • Follow up on comment threads with the option to resolve, snooze, or archive

A Home for Handbooks

As your team grows, so does the need to keep your docs and handbooks well organized. We released a new page to make it easier to access and organize handbooks in your workspace:

  • All Handbooks - all handbooks in your workspace
  • Your Handbooks - handbooks that you created
  • Shared with You - handbooks that you've been granted access to

To make your workspace navigation more flexible, you can "Favorite" a Handbook and reorganize your Favorites via drag and drop to prioritize the docs or handbooks that you always want on hand. Learn more about Handbooks.

Supercharged Search

Can't remember the title of that doc you're looking for? Not a problem. Almanac indexes all content within your documents and prioritizes search results with the most relevant matches, so you can quickly find anything and everything in your workspace.

Quality of Life Improvements

Super Admins now have more control and flexibility within your workspace, including the ability to:

  • View, edit, and delete all handbooks within your workspace
  • Change access permissions of handbooks
  • Edit the handbook index without being added as a "handbook owner"
  • Transfer ownership of all documents and folders
  • Toggle on/off your "Super Admin view" on the All Files page to reduce clutter (so you don't have to sort through ALL docs in your workspace!)
  • Assigning a task will now send email notifications and reminders, so you don't forget to follow up!
  • Prior to deleting a table with content, you'll see a confirmation modal to prevent accidental deletions.
  • Quickly add a splash of color to your docs with one-click defaults for highlighting, color box and quotes.

Spring (Bug) Cleaning

  • Inbox unread notification counts are in sync now.
  • You can cut/copy + paste color boxes and quotes.
  • Copying and pasting header section links now works as expected.
  • Adding images through URL links now works.
  • Mentions in headers are fixed, so you can reference docs or people without breaking your header formatting.

Connect Almanac to Slack and GitHub

We've made it easier for Almanac to fit right into your existing workflows with integrations to Slack and GitHub.

Slack Integration

Streamline your notifications using the Almanac app for Slack. This makes it quick and easy to respond to activities in your workspace directly in Slack, including:

  • Access Invitations: when you are given access to a document.
  • Access Requests: when you are the owner of a document or a folder that someone has requested access to.
  • Comments & Replies: when new comments or replies are made in Almanac docs or folders you created.
  • Mentions: when you are tagged in a comment.

GitHub Integration

Connect Almanac with your GitHub organization so you can embed issues and pull requests within your docs for easy access. Once connected, you can simply type /embed​ and find the GitHub option, or use the Embed button in the Insert ribbon.

Quality of Life Improvements

  • Make your code examples beautiful and easy to parse. You can now quickly change the language and code block themes with an inline format bar.
  • We added security measures to the workspace share link so it automatically changes every 7 days and can be rotated on demand.
  • You can now transfer the ownership of folders as well as individual docs. Trade ya!
  • We updated the tasks page for a cleaner experience adding new tasks. Finishing your list is hard, but writing it up should be easy!
  • We simplified the sidebar navigation on mobile, hiding the settings and import options for easier access to actions you'll take on the go.
  • Quickly add a doc, link or section from anywhere in your handbook index with the updated menu options.

Paper Cut Fixes

We fixed:

  • Workspace document styles so they fully function with the new editor.
  • The "last modified" date for documents so the property accurately reflects your recent changes.
  • The inline insertion menu (typing /​) no longer covers up text as you type. Phew!
  • Editing properties on newly added columns in your All Files.
  • Copying and pasting multiple cells in tables.
  • Search functionality for guests or unauthorized users.
  • The editor stalling for unauthorized users with edit access.
  • Code block font rendering.
  • Changing the text type of a header or title so it no longer affects the line underneath.

Doc Status, Custom Domains, and Toggle Blocks

Document Status

Is this doc a draft? Am I looking at the final version? Guess no more. We added a Document Status property so you can check the status of a doc in an instant. Take a look at your All Files page to see the new status column, or view the information panel on a specific doc.

By default, all docs will start with the "Draft" status. If you request a review, the status will automatically be updated to "In Review." If you request approval and get the official thumbs up, the status will change to "Approved." You can label docs as "Final" or "Deprecated" with the option to manually override the status at any time. Learn more about Properties.

Custom Domains

Make your Almanac workspace your own by connecting a custom domain or subdomain. As a workspace admin, you can find this option in your settings under "General & Appearance."

Going the custom domain route assumes you've already bought a domain and know how to configure your DNS. If that's not the case, the simpler option is to set up a custom subdomain directly in Almanac. Learn more about Custom Domains and Subdomains.

Toggle Blocks

Keep your docs easy to navigate with Toggle Blocks. Now you have the freedom to collapse content with as much or as little content, including lists, links, and other items. Find toggle blocks next to the list options in the Format toolbar or type /toggle​ for the shortcut. Learn more about Flexible Formatting.

Build Better Handbooks

  • We improved hover interactions for handbooks so it's easier to add items to your index and organize them into nested sections.
  • Catch up on those company policies on the go! We improved the responsiveness of handbooks on mobile.
  • You now have end-of-doc navigation to handbooks so you can quickly browse between docs and sections.

Quality of Life Improvements

  • ClickUp and Canva can now be embedded in docs.
  • Search filters are now accessible on mobile with a new drop down menu.
  • Don't lose track of to-dos! Now you'll receive email notifications for assigned tasks.
  • To cut down on clutter, we updated the Inbox to not send notifications for tasks that you assign yourself, those will live in the Tasks page.
  • We made a handful of table formatting improvements so you can stylize table cells to your heart's content.

Paper Cut Fixes

  • We fixed an issue with deleted docs showing up in search results. Good riddance!
  • We fixed an issue where changing colors on text would change the entire line or paragraph.
  • We fixed an issue with splitting up merged cells in a table. Divide 'em up as needed.
  • We fixed an issue with the Google login so it now redirects you to your workspace.
  • We fixed an issue with customizing fonts in your handbook settings.
  • We fixed an issue where adding a comment to text with gradients would remove the formatting. Fear not, gradients are here to stay!
